Public Relations and Media Unit

Description

The Public Relations and Media Unit of the College of Languages and Translation has a great cultural, informational and organizational mission, such as projecting the image and message of the college in the required area. The Public Relations Unit is also the first interface and main gateway of the College. It is considered as the University’s window to and bridge between the University and the cultures of the world.

Objectives

The Public Relations and Media Unit aims to create the appropriate conditions that help enhance the College’s contribution to community development, introduce various activities and services that it performs, and document its relationship with media institutions. It also presents the languages ​​listed in the college to the community and the job market in fulfilment of their needs as well the College’s endeavors. In addition, it aims at strengthening and developing the relationship between the College and the various organizations and institutions.

Mission

• Introducing the College’s role and its academic and research mission, and shaping a positive and proper image of the College for the public.

• Circulating the College’s activities through social media as well as the University’s newsletter, local newspapers and various media outlets in several languages, in addition to introducing the College and its courses by using in-college displays.

• Interacting with the public and meeting their needs in terms of providing them with all the information, facts and accurate statistics.

• Coordinating with the deanship of the College, heads of departments and the director of the college administration regarding the arrangements of scientific and cultural activities in the college.

• Opening a direct communication channel with the university’s public relations department.

• Engaging and coordinating with faculty and students in the organization and participation of events inside and outside the college.

• Forming a team from all language departments ​​to serve the college, university and society, including students, TAs and lecturers.

• Organizing visits of college guests to receive official delegations from inside and outside the university in accordance with the laws and regulations, providing hospitality needs and preparing for events in coordination with the administration.

• Attending and participating in scientific gatherings and cultural meetings to introduce the college and its specializations inside and outside the university.

• Training students to acquire considerable speech mannerisms to receive and introduce each guest, in the language that he or she speaks.

• Supervising exhibitions and awareness weeks within the college.

• Preparing periodic reports on the unit's activities and achievements

 

Responsibilities of the Unit Members

 

The Head of Unit

• Assigning and distributing assignments and following up the completion of work in the unit.

• Reporting the work developments and its requirements to the Dean of the College as well as preparing the annual reports.

• Following up with vice-deans, heads of departments and units regarding the provision of the unit with regard to the dissemination of information and arranging events and activities.

• Coordinating with the college administration regarding administrative and logistical matters.
 

The Secretary of the Unit

• Administrative communications: incoming and outgoing (transactions of notifications and remarks between different units - organizing appointments and meetings - writing letters ..... etc.)

• Documenting and archiving events and visits as well as preparing weekly, monthly and quarterly reports.

• Communicating through social platforms of events and sending news to the university’s newsletter and local newspapers.

• Coordinating with the College administration and external parties.

• Any other tasks specified by the head of the unit when needed.
 

The Secretary of Relations, Protocol and Information

• Communicating with faculty members, coordinators, and committees to provide the unit with information and news.

• Documenting visits and events, preparing an album for each visit.

• Updating the college’s website and preparing news to be published on social media.

• Arranging visits and communicating with the university's public relations department to coordinate.

• Providing the venues and hospitality arrangements and receiving the college guests and accompanying them within the College.

• Preparing visual presentations on the College in cooperation with and supervision of students.

• Coordinating with the unit's secretariat to archive reports and media materials.

• Any other tasks specified by the head of the unit when needed

 

Women Section Coordinator

• Communicating with female faculty members, coordinators, and committees to provide the unit with information and news.

• Documenting visits and events, preparing an album for each visit.

• Updating the College’s website and preparing news to be published on social media.

• Providing the venues and hospitality arrangements and receiving the college guests and accompanying them within the college.

• Preparing visual presentations on the College in cooperation with and supervision of female students.

• Coordinating with the unit's secretariat to archive reports and media materials.

• Any other tasks specified by the head of the unit when needed.

The students

• Participation with the unit in accomplishing the tasks assigned to them: (photographing, preparing information materials, advertisements, etc.)
